About The Position

This Administrative Specialist I serves as the general services coordinator for the Budget Office in the Division of Water Resources (DWR), which supports approximately 445 positions. DWR Budget Office uses the North Carolina Financial System (NCFS), Basinwide Information Management System (BIMS), Pay Point (online payment system), North Carolina Integrated Budget Information System (IBIS), and NC E-Procurement. DWR Budget Administrative Specialists must have excellent attention to detail and communicate professionally in a fast-paced setting. Administrative Specialists are cross trained with other Budget Office staff to keep the office running smoothly. Experience with one or more of the systems above and/or one or more of the roles outlined below may be helpful for this position.

Requirements

  • High school diploma or General Educational Development (GED) diploma and two (2) years of related administrative experience, or equivalent combination of education and experience.

Responsibilities

  • Building management (portions of building occupied by DWR staff): submit service tickets for and coordinate building maintenance issues and staff office requests (e.g., lock/key replacements, moving furniture, plumbing or AC/Heat issues, replacement of ID badges, etc.)
  • Division point of contact for vehicle and building contents insurance: work with staff and insurance companies on claims, review annual insurance coverage and notify management when revisions need to be made
  • Division motor fleet management coordinator: ensure proper maintenance/inspections of permanently assigned motor fleet vehicles and division-owned vehicles, submit quarterly usage reports, process motor fleet & WEX invoices
  • Division Fixed Asset System (FAS) and Surplus System coordinator: maintain inventory and surplus records, ensure proper tagging and disposal, report inventory to the Department
  • Other general administrative duties as assigned, which may include A/R & A/P support, providing customer service by phone & email, and document management
