About The Position

Positions in this class are characterized by knowledge or skills particular to an area of specialization, process, or program. Work requires specialized knowledge in the processing and application of information, documents and/or materials. The majority of time is allocated to tasks that involve several steps and require the selection of the most appropriate action within procedural and operational guidelines. The range of duties includes, but is not limited to, verifying data, report writing, summarizing and reconciling information or financial data, records management, claims review and processing, data collection and analysis, research, inventory, personnel administration and fund collection or expenditures. The role is different from the Administrative Associate because fewer general office or administrative tasks are performed. Examples of the areas of specialization in this class include, but are not limited to, payroll, student services, accounting, medical records, call center, statistical, and human resources.

Requirements

  • High school diploma or General Educational Development (GED) diploma and two years of related administrative experience; or equivalent combination of education and experience.

  • Demonstrated experience performing administrative functions in an office setting.
  • Demonstrated ability to operate office equipment/computers.
  • Demonstrated experience in maintaining confidential information.
  • Demonstrated experience in organization, retention, review and filing of records.
  • OPUS and Electronic Health records experience preferred.

Responsibilities

  • Review and collect medical information directly from the electronic health record and organize this information for appropriate use by the Medical Records team.
  • Responsible for archiving and retrieving confidential medical records of offenders no longer in the correctional system.
  • Retrieve records for release of information purposes and maintain on-going statistical logs of records activities.
  • Archiving and retrieving is a critical process and must be done in a timely manner to facilitate release of information requests.
  • Possess great attention to detail to follow up on and locate missing records.
  • Perform medical records processes including pulling records for re-admitted offenders, processing medical & mental health records and psychological testing data, entering discharge records into the computer system, etc.
  • Ensure that records and boxes are properly labeled and stored in a warehouse setting.
  • Assist in a medical records office at a correctional facility and includes other duties as assigned.
