Requirements

  • 3+ years of administrative experience in a professional services setting
  • Experience with chart of accounts, coding accounts payable invoices, and reconciling credit card transactions
  • Experience supporting teams and leaders, experience coordinating complex schedules
  • Experience overseeing other administrative support associates
  • Experience requesting quotes, negotiating rates, and securing initial contract terms for new and existing vendors.
  • Knowledge of basic budgeting and expense tracking
  • Clear, concise verbal and written communication skills and accurate grammar usage
  • Ability to plan, prioritize, and organize work effectrively while balancing multiple projects simultaneously
  • Ability to work under pressure and time deadlines with great attention to detail

Responsibilities

  • Provide and coordinate administrative operations to the Denver and Loveland offices to ensure deadlines are met, while maintaining a positive, collaborative work environment
  • Lead hospitality and travel arrangements, coordinate onsite and offsite meetings and events for associates and clients
  • Approve expenses, manage and reconcile office accounts, deposit checks, order and restock supplies, manage incoming and outgoing mail and deliveries
  • Oversee responsibilities of other administrative services associates to ensure expectations are met
  • Provide onsite facilities management and maintenance support, including regional support for office moves, relocations, remodels, and surrenders
  • Maintain aesthetic appearance of the office, order and restock supplies
  • Serve as liaison between associates, leadership and vendors ensuring efficient and professional communication
