About The Position

Step into a role where you are the central anchor for the Administrative Offices of both the Lincoln and Calumet Centers. You will provide comprehensive clerical, organizational, and communication support for Spectrum Juvenile Justice Services, serving as the primary point of contact for staff, clients, and community members. You will operate with a high degree of independence and professionalism, ensuring that all administrative functions align with company standards, confidentiality expectations, and the operational needs of the Child Caring Institution. This is your opportunity to demonstrate your expertise by overseeing daily office operations with minimal supervision, thereby significantly enhancing the agency's efficiency and professionalism.

Requirements

  • Has a minimum of two (2) years of clerical or administrative support experience in an office setting.
  • Is proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Demonstrates strong typing skills (minimum 50 WPM).
  • Possesses exceptional written and verbal communication abilities.
  • Is a highly organized self-starter with strong time-management skills and the ability to multi-task and prioritize competing demands.
  • Demonstrates professionalism, reliability, and the ability to work independently with minimal supervision.

Nice To Haves

  • Has experience within a Child Caring Institution (CCI), social services, or behavioral health organization (preferred).

Responsibilities

  • Manage daily office operations with minimal supervision, ensuring all administrative tasks align with Child Caring Institution (CCI) standards and agency policies.
  • Serve as the first point of contact for callers, visitors, clients, and community members, maintaining a professional, courteous, and trauma-informed approach at all times.
  • Perform data entry and maintain records by ensuring accurate, up-to-date information in agency databases and keeping organized electronic and physical filing systems in accordance with confidentiality and retention requirements.
  • Handle communication and correspondence, including answering and directing phone calls, drafting and typing reports, correspondence, and meeting minutes, and processing and distributing mail, faxes, and packages.
  • Schedule and coordinate agency events, meetings, and staff trainings, including sending weekly updates and reminders.
