About The Position

Florida Atlantic University is seeking an Administrative Secretary, A.D. Henderson - Boca Raton, FL. Join a collaborative, student‑focused school community as our Administrative Secretary, serving as the Principal’s primary assistant and a key hub of organization and communication on campus. In this dynamic role, you’ll manage calendars, coordinate school activities, create presentations and reports, organize events, and keep office systems running efficiently. You’ll support staff, streamline processes, maintain confidential records, and help ensure the smooth, day‑to-day functioning of the school. Requirements

  • High school diploma and seven years of appropriate experience required.
  • Appropriate college coursework or vocational/technical training may substitute at an equivalent rate for the required experience.

Responsibilities

  • Provide general administrative and clerical support and serve as the primary assistant to the Principal.
  • Draft correspondence and other written communication.
  • Research and create presentations.
  • Prepare agendas and schedule meetings.
  • Generate reports, as needed.
  • Organize office systems and procedures for improved efficiency.
  • Provide timely notice to the Principal regarding meetings and cancellations.
  • Maintain the school’s activities calendars and schedule for facility usage.
  • Maintain up-to-date records, confidential files, and documents.
  • Utilize technology to optimize organization, communication, and work processes.
  • Develop presentations for various audiences, including the School Advisory Body.
  • Develop Google and Excel project management documents to monitor school and Florida Department of Education timelines.
  • Organize and plan faculty and staff events and celebrations, including various employee appreciation days, monthly birthday celebrations.
  • Planning for celebrations involves organizing food and beverage menus, as well as all logistics.
  • Coordinate planning days and teacher workday meals.
  • Prepare agendas, organize and schedule meetings, and arrange meeting rooms.
  • Periodically, follow up with staff to keep projects on track.
  • Draft letters of recommendation for students and staff.
  • Serve as liaison for fundraising efforts and other events planned with the PTO.
  • Manage and schedule travel for Principal, when requested.
  • Submit and reconcile expense reports.
  • Support other staff with general questions.
  • Support school events and functions.
  • Coordinate and monitor special events.
  • Perform other job-related duties as assigned.
