About The Position

Administrative Secretary 12-Month Special Education � Medicaid/Autism Waiver Billing JOB SUMMARY: This position contributes to the efficient and effective operation of the assigned office by performing clerical and administrative tasks as a necessary function of the office. This is a 12-month position.

Requirements

  • Knowledge of or ability to learn the functions, procedures, organization, policies and procedures of the Queen Anne's County Public Schools system
  • Working knowledge of modern office procedures and equipment; various software programs; the principles of office management; and of standard record maintenance procedures.
  • Ability to make decisions in accordance with precedents, rules and regulations; to apply Board policy to daily work problems; to exercise good judgment, courtesy, and tact in dealing with people on the telephone and in person; to work independently on difficult or complex clerical or routine administrative tasks; to explain policies, rules, regulations and procedures to others; and to work independently on complex and confidential secretarial tasks
  • High school diploma or G.E.D. certificate
  • Proficiency in typing, computer and word processing skills, PowerPoint and Excel, office practices, business English, and business mathematics
  • Three (3) years of successful secretarial experience with increasing responsibilities

  • A.A. degree in related area
  • Bachelor's degree in related field preferred
  • knowledge of ICD-10 codes preferred

Responsibilities

  • Uses sound judgment in dealing with confidential information
  • Knowledge and navigation of various electronic data management programs including medicaid billing platform, MD Autism Waiver platforms, student information systems, Google Suite, and state-based data platforms
  • Prepares agenda, assembles materials for meetings, and provides in-service training
  • Maintains a regular filing system, as well as a set of locked confidential files and processes incoming correspondence
  • Places and receives telephone calls, and records messages
  • Compiles, reviews, and processes Medical Assistance billing for Special Education services and Autism Waiver (Part B, Part C, and Autism Waiver program)
  • Obtains, gathers and organizes pertinent data as needed and puts it into usable form for routine daily functions and comprehensive audits
  • Composes and types routine and/or confidential correspondence and reports for review and approval by the supervisor
  • Types correspondence, reports, notices, and memoranda from draft form, which may include electronic recordings
  • Maintains budget accounts and coordinates with associated members of the finance department
  • Assists in grant management procedures as required
  • Compiles and maintains data needed for reports, and completes reports as required
  • Performs other duties as assigned consistent with program requirements, and as assigned by supervisor
