Republic Finance is seeking an Administrative Receptionist to join our growing Centralized Operations department in Ponchatoula, LA! The Administrative Receptionist will provide support to the leadership team within Centralized Operations and Collections by conducting key functions to ensure organization throughout the department. This position will be a critical member of our hard-working team and will perform a wide variety of support duties including maintaining office supplies, scheduling, greeting and directing visitors, sorting and distributing daily mail, preparing and organizing monthly required reporting, assisting in preparing for office presentations, meetings and training classes and working with Compliance on inner office updates to our in house Policy Tech as requested by Collection Department Manager. You will work with operations, compliance, audit, legal, bankruptcy and other key partners who may be both internal and external to the organization. As a key member of the Centralized Operations team within this growing organization, you have an opportunity to grow professionally in this role. Job responsibilities are as follows:

Requirements

  • High school diploma or equivalent.
  • 3+ years of experience as an Administrative Assistant or equivalent.
  • Familiarity with Windows and MS Office products, particularly Outlook, Word, PowerPoint, and Excel.
  • Strong Time Management Skills.
  • Professional demeanor and strong communication skills.
  • Excellent organization and time-management skills, with the ability set priorities, handle multiple tasks, and meet critical deadlines with high degree of attention to detail.
  • Critical thinking and problem-solving skills.
  • High level of creativity and flexibility in order to improve existing programs and develop new ones.
  • Desire to work in a positive, results-driven, and collaborative work environment.

Responsibilities

  • Answer phone and route calls to the correct employee or take a message.
  • Greet visitors and help them locate where they need to go within the facility.
  • Organize and assist in maintaining office common areas.
  • Sort and distribute mail and packages.
  • Assist multiple departments with mailing documents.
  • Maintain and order inventory for the office.
  • Review, code and submit office invoices for payments.
  • Organize and maintain office contact information.
  • Collect and organize filing of all checks and monthly reports printed in the office.
  • Data entry of all potential new addresses (from returned mail) into mail file (Excel spreadsheet) and into ABS memo pad.
  • Organize and maintain Pitney Bowes postage meter.
  • Coordinate and schedule conference calls, meetings, and events for the department with regular interaction with key leaders inside and outside Republic Finance.
  • Maintain licensing and insurance certifications for the office.
  • Manage the office Employee Engagement including planning and executing events and recognition.
  • Expense Management for senior leaders and engagement committee.
  • Point of contact for facilities.
  • Assist with special assignments and projects, and complete/coordinate ad-hoc projects.
  • Provide general administrative support to all employees.
