Administrative Operations Management Manage day-to-day administrative operations supporting OLPA leadership and communications programs. Coordinate administrative workflows, document management processes, and internal communications activities. Support operational planning and ensure administrative tasks are completed accurately and on schedule. Project Coordination Manage administrative projects and coordinate tasks across teams. Track project progress and deliverables to ensure timely completion. Assist leadership and program staff with coordinating initiatives, meetings, and operational activities. Calendar and Meeting Coordination Manage calendars, schedule meetings, and coordinate appointments for leadership and staff. Prepare meeting agendas, briefing materials, and presentations. Document meeting outcomes and maintain records of decisions and action items. Reporting and Metrics Support Compile and organize reports, presentations, and performance tracking materials. Support the development of regular operational reports and metrics summaries. Maintain tracking systems used to monitor project activities and communications performance. Document and Records Management Maintain organized document repositories and file management systems. Ensure templates, operational resources, and documentation are properly maintained and accessible. Support development and formatting of reports, presentations, and written communications. Stakeholder Coordination Coordinate communication and collaboration between internal staff, contractors, and external stakeholders. Assist with scheduling interviews, meetings, panels, and outreach engagements. Maintain contact lists and distribution lists used for communications initiatives. Travel and Logistics Coordination Assist with coordinating travel arrangements, training events, and administrative logistics. Support processing of travel documentation and reimbursement coordination. Professional Communications Support Draft routine correspondence, emails, and administrative communications on behalf of leadership. Ensure communications demonstrate professionalism, clarity, and accuracy.
