Requirements

  • 18 mos. exp. or 18 mos. trg. in secretarial/administrative professional field.
  • Or completion of associate core coursework in secretarial science or business office applications from accredited career school or community college.
  • Or 6 mos. exp. as Administrative Professional 1, 16871.
  • Or equivalent of Minimum Class Qualifications For Employment noted above.

Responsibilities

  • Assists office administrator in routine administrative duties: · Schedules appointments and maintains administrator’s calendar and communications; · Maintains office coverage calendar; · Makes recommendations regarding program activities specifically linking connections between programs; · Researches and analyzes materials, information and programs; · Provides technical assistance to providers and parents; · Assists in maintaining updated office procedural handbooks related to established program policy; · Provides communication to office staff (e.g., written, oral); · Supports administrator at meetings and conferences.
  • Manages business functions of administrator’s office\: · Prepares requisitions and personal service contracts; · Arranges conferences, meetings, and travel for office leadership; · Coordinates and/or organizes workshops, meetings and webinars (e.g., reserves meeting rooms, conducts research, prepares presentations, organizes meeting/workshop materials); · Retrieves and returns documents from off-site storage; · Creates, proofreads, and edits documents, develops and/or maintains filing system (e.g., paper, electronic); · Liaison with IT service desk for office; · Liaison with facilities management for office.
  • Performs public relations duties\: · Provides basic information about the Office Nonpublic Educational Options to clients (e.g., administrators, principals, providers, and parents) by telephone and/or email; · Researches customer inquiries using the web-based scholarship application and the database for Ohio Revised Code and Ohio Administrative Code; · Responds to customer complaints; · Responds to and fulfills records requests; · Submits Security memos and greets clients and visitors.
