About The Position

Duties performed are of a senior clerical nature. This is the second most senior level clerical job handling significant clerical details and duties that require the ability to apply technical knowledge to clerical functions. It incorporates elements of other levels but with a majority of effort associated with specialized support services for the extensive Clinical Education component of the Doctoral Program in Physical Therapy, working primarily under the Director of Clinical Education (DCE) and four additional Regional Clinical Coordinators. Other key aspects of work at this level include a high degree of independence and latitude to prioritize work assignments.

Requirements

Responsibilities

  • Administrative support for the Clinical Education component of the Doctoral Program in Physical Therapy, working primarily under the Director of Clinical Education (DCE) and four additional Regional Clinical Coordinators.
  • Coordinates two to four Regional Clinical Coordinator meetings per year, which includes reserving meeting room, preparing materials, and recording minutes.
  • Responsible for coordination of paperwork (both electronic and hard copy) for clinical placements through use of EXAAT software.
  • Maintains a complex database of current clinical education affiliations (preceptors); sends out requests for clinical rotations from a source of 300+ locations within the United States, primarily in Michigan.
  • Handles administrative duties for securing the clinical rotations, informing students of their clinical assignments (180 students - 60 per clinical experience/semester), informing clinical sites of their upcoming student placement, and distribution of Certificates of Liability Insurance and other documentation/packets.
  • Responsible for entering both the students and clinical instructors into an online Clinical Performance Instrument, a management tool for monitoring the progress of students through their clinical rotation; serves as the liaison for technical support when necessary.
  • Responsible for frequent interaction with clinical affiliates, clinical faculty, and students via several communication methods.
  • Responsible for manipulating gathered clinical education data and preparing multiple statistical reports from data.
  • Coordinates with College of Health Professions Clinical Compliance Coordinator Affiliation Agreements and the creation of new standard CMU agreements for sites hosting student physical therapists.
  • Coordinates the collection of final doctoral projects (approximately 60) and uploads them for future reference.
  • Creates, distributes, and handles 1-year post graduation surveys to alumni for assessment of CMU DPT Program and curriculum.
  • Coordinates a number of program special events, such as the Annual Research and Case Report Colloquium, Annual Professional Transition and Recognition Ceremony and the paperwork required for guest speakers, Annual Pre- and Post-Internship Seminars, the Annual Credentialed Clinical Instructor Program, which requires the ability to coordinate activities with a co-sponsor located off-campus and handle departmental deposits of fees/charges, and the Annual Clinical Education Advisory Panel.
  • Gathers, prepares, and organizes data for Accreditation and Assessment from a multitude of sources.
  • Assists Assessment Coordinator, Director, and DCE, as necessary, to administer extensive and complex outcomes assessment plan, collects necessary data, and imports data and necessary documents into the CMU system.
  • Securely hold exams from instructors for students' review and supervise students as they review.
  • Supervises student office assistant in coordination with Administrative Secretary.
  • Supports the entire faculty of the DPT Program in the capacities that are requested, including but not limited to: Reservations for rooms within the CHP. Relays information, materials, and exams (blank or ones to be graded) to Houghton campus via mail or scan/email. Special print jobs through Printing Services.
