About The Position

The Administrative Lead supports the daily operations of the office by overseeing administrative functions, coordinating staff activities, and ensuring efficient patient and office workflows. This role acts as a liaison between the clerical team and the Office Manager, providing guidance, direction, and support to maintain high standards of service, professionalism, and patient satisfaction. The Administrative Lead fosters a positive team culture, models the organization’s core values, and assists in scheduling, training, and communication to ensure a seamless and organized office environment.

Requirements

  • High school diploma or equivalent required
  • 3–5 years of administrative or front office experience, preferably in a healthcare or dental setting
  • Proficiency with scheduling and EHR software
  • Basic math skills
  • Strong leadership and team coordination skills
  • Excellent communication and interpersonal abilities
  • Highly organized with strong attention to detail
  • Able to multitask and problem-solve in a fast-paced environment
  • Professional, empathetic, and patient-focused demeanor
  • Always maintains confidentiality and professionalism
  • Proficient in Microsoft Office Suite and general office technology

Nice To Haves

  • CPR and General First Aid training is optional
  • Prior supervisory or team lead experience is strongly preferred

Responsibilities

  • Schedule patient appointments using scheduling software.
  • Answer and route call on a multi-line phone system.
  • Partner with the Office Manager to manage daily schedules and improve efficiency.
  • Provide administrative support and coverage across roles as needed.
  • Communicate updates and expectations to the clerical team.
  • Maintain professionalism, confidentiality, and effective delegation.
  • Support and guide clerical staff on responsibilities and goals.
  • Prioritize the patient experience in all interactions.
  • Greet patients by name and communicate clearly and empathetically.
  • Listen actively and respond appropriately.
  • Recognize how personal actions impact patient care and satisfaction.
  • Understand how individual roles affect practice operations and patient care.
  • Demonstrate strong job knowledge, adaptability, and willingness to learn.
  • Seek feedback, pursue growth opportunities, and strive for continuous improvement.
  • Support quality assurance, office operations, and training efforts.

  • Assist visitors, patients, and vendors as needed.
  • Update and maintain patient account information.
  • Troubleshoot issues and recommend solutions.
  • Document detailed notes and reports.
