About The Position

The Administrative Officer Senior provides executive-level support to the Chief Infrastructure Officer (CIO) at Charlotte Douglas International Airport while serving as the supervisor and operational leader of the administrative support function within the CIO’s portfolio. The role is responsible for leading, developing, and overseeing a team of administrative professionals, ensuring consistent delivery of high-quality, efficient, and customer-focused administrative services across the Department Divisions. This position directs and manages all administrative operations in the CIO’s portfolio, aligning team performance, workflows, and priorities with division goals and initiatives. This role works closely with the Administration Division Manager and other Aviation Department leaders to execute key initiatives. This position requires strong leadership, sound judgement, and the ability to balance strategic priorities with day-to-day operational demands in a fast-paced environment. This role regularly interacts with all levels of the organization, airport tenants and stakeholders, partners, elected city officials and the general public.

Requirements

  • A master’s degree and no experience, bachelor’s degree with 1-year relevant experience, or an associate’s degree with 3 years relevant experience, or a high school diploma (or equivalent) with 5 years relevant experience.

Responsibilities

  • Provides high-level executive support to the Chief Infrastructure Officer and serves as the key liaison between the CIO and members of the Directors’ Management Team. Prepares and reviews correspondence, presentations, reports, meeting agendas, and summaries on behalf of the CIO.
  • Leads, manages and develops a team of four (4) administrative professionals that support Directors and Managers, ensuring efficient, consistent and customer-focused service delivery across the CIO’s portfolio. The team is responsible for: a. Administrative, Customer Service & Executive Support: Serving as the primary point of contact for visitors, employees, and stakeholders; managing office operations including calls, email, mail, and visitor coordination; supporting executive workflow through calendar management, meeting scheduling, and preparation of agendas and summaries; coordinating interviews, events, and logistics; tracking and responding to issues and correspondence; and providing general administrative and basic technology support. b. Employee and Operational Support Services: Coordinating travel, accommodations, and reimbursements; performing authorized signer duties in compliance with federal regulations; assisting with irregular operations; and managing office supplies and related logistics. c. Procurement and Financial Administration: Supporting procurement card (P-Card) processing and reconciliation; preparing pre-purchase requisitions; monitoring budgets; and assisting with division-specific projects as requested by leadership.
  • Manages and prioritizes the CIO’s complex calendar, appointments, and engagements. Coordinates logistics for executive meetings, conference calls, interviews, and special events, ensuring seamless execution.
  • Oversees performance management and employee development by establishing performance expectations, delivering regular feedback, and conducting performance reviews. Ensures staff have proper training, tools, and resources to perform their job duties effectively.
  • Manages, directs, and oversees the process and procedures of Aviation specific impact notices and correspondence to stakeholders, tenants and partners. Ensures communications maintain compliance with Director’s Notice expectations.
  • Provides budget oversight and administrative guidance on behalf of department leadership. Assists with procurement processes including Pre-Purchase requisitions, data collection, reconciliation, and budget analysis.
  • Oversees and ensures compliance with Authorized Signers responsibilities and badging processes within the CIO’s portfolio, including adherence to federal regulations, proper documentation, notifications, and required audits.
  • Leads and coordinates administrative support for emergency response efforts and irregular operations for the Administrative Services Division. Coordinates staffing, caterers and hotels for employees during events. Serves on teams as needed.
  • Completes special projects, leads and oversees large committees and special event initiatives on behalf of the CIO, and performs directed research.
  • Other duties, as assigned.
