About The Position

SUMMARY: Under general supervision performs a variety of secretarial, receptionist and support duties. Coordinator is responsible for scheduling and maintaining the calendar heads of one or more designated departments, prepares correspondence and coordinates the day-to-day operations of the department. SUPERVISORY RESPONSIBILITY: This job has no supervisory responsibility. IMMEDIATE SUPERVISOR POSITION TITLE: Practice Manager, Spine Institute The following statements reflect the general duties, responsibilities and competencies considered necessary to perform the essential functions of the job and should not be considered as a detailed description of all the work requirements of the position. The specific job duties may be changed by the department manager with or without prior notice based on the needs of the organization. CONDITIONS: The new hire or transfer employee will remain within this job category for a probationary period of six months. With a satisfactory criteria based performance evaluation, the employee will advance to a regular status employee. If the evaluation is not satisfactory, the employee will be terminated.

Requirements

  • High school diploma or equivalent required
  • Five years of administrative secretarial experience required
  • Demonstrated knowledge of advanced word processing, spreadsheet, database and presentation software required
  • Ability to type 60 words per minute
  • Ability to transcribe minutes and handle meeting discussions for transcription
  • Knowledge of medical terminology and/or health care methods
  • Ability to ensure the confidentiality and rights of patients and confidentiality of health system and departmental documents required
  • The ability to communicate effectively with employees, physicians, hospital management and the general public
  • Ability to perform basic math functions
  • Ability to prioritize work responsibilities and problem solve using analytical and problem solving skills
  • Ability to lift and carry supplies weighing up to 35 lbs. and reaching pulling and pushing is required
  • Visual and auditory acuity and ability to orally communicate

Nice To Haves

  • Successful completion of secretarial classes beyond high school or an Associate degree in secretarial science or related field preferred
  • Experience in a health care setting preferred
  • Certified Professional Secretary designation preferred
