About The Position

The Administrative Coordinator supports the efficient operation of the office and provides administrative support across multiple departments. This role serves as a central point of contact for employees, vendors, and clients and requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.

Requirements

  • High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred
  • 2–4 years of experience in an administrative, office management, or coordination role
  • Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
  • Experience with collaboration tools such as Zoom and Microsoft Teams
  • Familiarity with document management or CRM systems such as SharePoint or Smartsheet
  • Strong organizational, time-management, and multitasking skills
  • Excellent written and verbal communication skills
  • High attention to detail and ability to handle confidential information with discretion

Responsibilities

  • Oversee daily office operations, including office supplies, equipment maintenance, and coordination with building management and vendors
  • Manage calendars and schedule internal and external meetings, conferences, and appointments
  • Coordinate meeting logistics, including space reservations, catering, and technology needs
  • Plan and support company events, town halls, and special projects
  • Serve as the primary point of contact for incoming phone calls, emails, and correspondence
  • Provide administrative support to managers and senior staff
  • Prepare, format, and distribute reports, presentations, and correspondence
  • Maintain accurate and confidential physical and digital filing systems
  • Assist with light bookkeeping, invoice processing, expense tracking, and basic budget support
  • Review administrative processes and recommend improvements to increase efficiency
