About The Position

This position is part time and will work 24 hours per week on site at our corporate office in Wilmington, NC.

Requirements

  • High school diploma or equivalent; associate’s degree in business, healthcare administration, or related field preferred.
  • Minimum of one year healthcare, hospice, or volunteer programs.
  • Strong administrative and organizational skills with attention to detail.
  • Proficiency in Microsoft Office (Word, Excel, Outlook), utilizing multiple windows, programs and drives simultaneously, and comfort with databases/EHR systems.
  • Ability to use computer, fax, phone, copier etc.
  • Ability to manage multiple priorities.
  • Excellent verbal and written communication abilities.
  • Ability to manage confidential information with professionalism and discretion.
  • Must be collaborative and be able to work as a part of a team.
  • Needs to have a customer service orientation and be reliable, punctual, and have consistent follow-through.
  • Sitting; walking; reaching; feeling with hands and fingers; ability to lift to twenty-five pounds; stooping; bending.

Nice To Haves

  • Familiarity with CMS hospice regulations related to volunteer services preferred.
  • Experience working with volunteers or in a nonprofit setting is preferred.

Responsibilities

  • Maintain organized volunteer records, including applications, orientation documentation, background checks, TB tests, and required annual education.
  • Ensure all volunteer files remain compliant with state, federal, and accreditation standards.
  • Assist with tracking volunteer hours, assignments, and services provided.
  • Generate monthly, quarterly, and annual reports on volunteer activity for leadership and regulatory bodies.
  • Ensure that Volunteer Management System is up to date with volunteer records
  • Serve as the primary administrative contact for volunteer inquiries.
  • Support scheduling and coordination of volunteer assignments in collaboration with the Volunteer Coordinators and Lead Volunteer Coordinator.
  • Draft and distribute volunteer communications, newsletters, recognition messages, and event invitations via email and in the Volunteer Management System
  • Assist in the planning and execution of volunteer recognition events and training sessions.
  • Coordinate volunteer application processing, reference checks, and required screenings.
  • Follows volunteer leads and recruiting efforts across multiple counties.
  • Schedule volunteers for orientation, training, and continuing education.
  • Prepare onboarding materials, documentation packets, and resource guides.
  • Enter and maintain volunteer-related data in electronic health record (EHR) systems or volunteer management databases.
  • Ensure accuracy of volunteer hour activity logs and service documentation.
  • Support preparation of reports for audits, surveys, and compliance reviews.
  • Distribute, process and maintain annual volunteer credentials
  • Provide general administrative support to the Volunteer Department and hospice leadership team.
  • Assist with maintaining program manuals, SOPs, and resource materials.
  • Organize supplies for training, community events, and volunteer activities.
  • Participate in quality improvement initiatives related to volunteer services.
