About The Position

The Office of the Registrar is seeking qualified applicants for Administrative Coordinator II positions to provide administrative support for the university’s curricular approval process and academic course and program inventory. The Administrative Coordinator II employees play a key role in supporting curricular review and approval activities by ensuring the accuracy, consistency, and timely processing of course and program proposals. These positions require a high level of attention to detail, the ability to manage multiple priorities, and effective collaboration with university administrators, faculty, and staff. The role requires the exercise of discretion, independent judgment, and strong analytical skills to maintain the accuracy and integrity of curricular data across multiple systems.

Requirements

  • Bachelor’s degree or equivalent combination of education and experience.
  • Three years of experience in office administration.
  • Knowledge of word processing, spreadsheet, database and presentation applications.
  • Knowledge of content management systems, student information systems and standard software applications.
  • Knowledge of standard office procedures and protocols.
  • Research and information gathering skills.
  • Interpersonal and communication skills.
  • Planning, organizational and time management skills.

Responsibilities

  • Course Proposal Review: Assists with the review of course proposals submitted through the Curricular Approval Request System, CARS, to ensure consistency, accuracy, and adherence to University standards.
  • Course Inventory: Manages the transfer of approved course data from the content management system to the student information system using CourseLeaf bridge software.
  • Course Tracking: Coordinates the maintenance of courses approvals
  • Program Proposal Review: Reviews program proposals submitted through CARS to ensure adherence to university policies and procedures
  • Program inventory: Assists with degree evaluation maintenance for bachelor’s, certificate, minor and professional practice programs.
  • Program Tracking: Coordinates the maintenance of program approvals
  • Catalog: Supports the production and publication of University catalogs, ensuring information is accurate, consistent, and policy compliant.
  • Curricular Approval Request System: Serves as a contact and resource for academic departments with inquiries regarding the curricular approval process for course and program submissions.
  • Stakeholder Engagement: Maintains and administers the Curricular Services SharePoint site, ensuring information is current, accurate, and well-organized.
  • Curriculum Management System Administration: Manages user access and workflow roles within the CourseLeaf CIM and CAT modules to ensure appropriate permissions and system security.
  • Curriculum Management System Reporting: Creates, runs and maintains reports using CourseLeaf reporting tools to support academic and administrative initiatives.
  • General Office Administration: Provides administrative support by managing phone and email inquiries, assisting with training, and contributing to the continuous improvement of office operations.
  • Performs additional responsibilities as assigned to support the goals and operations of the Office of the Registrar.
