The Administrative Coordinator I is responsible for providing administrative support, including planning, coordination, and implementation of various projects and activities under the direction of a senior research administrator in support of the Science Education department. The role interacts with all levels of professional and technical staff, students and teachers, and other internal and external collaborators. The position requires a commitment to providing excellent customer service, responsiveness, flexibility (both time and task), confidentiality, and creativity in approaching problem-solving. Adaptability to peaks in workflows, willingness to assist other members of the department, and a commitment to meeting deadlines are essential. Requirements

  • Requires High School/GED and five years of administrative or relevant experience OR equivalent education/experience.
  • Office skills such as organizational, strategic planning and scheduling, time-management, verbal and written communication, critical thinking, quick-learning, and detail oriented.

Nice To Haves

  • Strong skills in organizing documents and data, and processing them for other teams across multiple deadlines.
  • Experience in fiscal management, especially across multiple budgets.
  • Experience establishing and managing consultant or service agreements.
  • Proficient in the use of common computer applications and software such as programs within Microsoft Office (Excel, Word, Outlook, etc.).

Responsibilities

  • Support a senior Research Administrator in the financial and logistical support of the Science Education Department, and be flexible in administrative support of the SciEd team and our partners across Fred Hutch.
  • Engage with students, teachers, and other SciEd participants to ensure we meet financial and compliance requirements in a manner that is compassionate, organized, and respectful.
  • Coordinate with program managers to prepare participant payments swiftly, nimbly, and with attention to compliance and confidentiality concerns.
  • Coordinate with other departments across the Center to keep SciEd processes in compliance with policies and regulations, and to articulate the needs of our participants and programs.
  • Aid with procurement, reconcile purchasing card statements, manage & advise on budget tracking codes.
  • Provide logistical support to conferences, workshops, public events, etc., including meeting & scheduling management, Outlook invites, procurement of catering and event supplies, etc.
  • Monitor multiple budgets, interact with other departments regarding funding issues, and identify trends or concerns to bring to manager.
  • Participate in process improvement activities with an open mind to constructive feedback, and a goal to create positive experiences for SciEd participants while meeting the needs of our partners across the Center.
  • Other duties as assigned.
