About The Position

We have an exciting opportunity for an Administrative Business Partner II within our Administrative Operations Department at Bloodworks NW! The incumbent will be responsible for partnering with business lines and leadership across the organization to provide an array of administrative support to meet operational needs and goals. Lead projects to help drive Bloodworks' strategic priorities. Perform distinctive administrative responsibilities within individual business lines and departments. Assist in the mentorship and training of new and current Administrative Business Partners (ABPs).

Requirements

  • Associate's degree in Business Administration or Communications, or equivalent combination of education and experience.
  • Minimum of five years' previous experience in an administrative capacity or a similar role; experience in healthcare or a regulated industry is highly desirable.
  • Proficiency with Microsoft Office applications - Outlook, Word, and Excel.
  • Adept at problem-solving, including the ability to identify issues and resolve problems promptly.
  • Ability to effectively work independently and in a team.
  • Strong interpersonal skills.
  • Ability to communicate clearly, both written and verbally.
  • Group presentation and facilitation skills.
  • Ability to work in a diverse environment.

  • The ability to push, pull, and lift an average of 50 pounds throughout the day is required, as is the ability to carry an average of 30 pounds.

Responsibilities

  • Provide an array of administrative support across business lines at Bloodworks, including but not limited to composing and preparing written and visual correspondence, and travel arrangements.
  • Manage billing, including expense tracking and working with Accounts Payable and other stakeholders on reconciliation.
  • May coordinate a computerized calendar for multiple individuals, including various scheduling (e.g., on-call, holiday, etc.).
  • May handle payroll for various assigned departments, review payroll preparation and department reports to ensure best practices are maintained in each department, and function as a timekeeper.
  • Records management and maintenance to include, but not limited to: organizing, tracking, auditing, filing, and maintaining confidential files and records; maintaining databases and processes in accordance with company policy and applicable laws.
  • Organize event planning, meetings, and conference management; arrange for audiovisual equipment, create agendas, and take meeting minutes.
  • Provide frontline professional customer service to internal and external customers, including front-desk duties. Will interact with all levels of the organization and, at times, serve as a liaison.
  • Maintain working knowledge of office software (e.g., Adobe Professional, MS Office suite, etc.) and the use/troubleshooting of equipment (e.g., printers, fax, etc.). Take the lead in establishing new systems and improving existing ones.
  • Assist in the development, writing, and updating of administrative policies, procedures, and guidelines within the department; and provide/publish (e.g., SharePoint) content as needed.
  • Complete administrative projects by identifying and implementing new technology in conjunction with other departments and redesigning systems.
  • Compile weekly, monthly, and quarterly reporting, including complex reporting.
  • Order and restock supplies and monitor supply inventory.
  • Handle confidential information with integrity.
  • Collaborate across the organization and with Administrative Business Partners to organize and manage multiple projects at once as they arise in support of Bloodworks.
  • Take the lead on projects as needed.
  • Communicate information and ideas effectively to different audiences at all levels of the organization.
  • Provide administrative support to company and department initiatives and programs (e.g., awards programs, etc.).
  • Conduct research and retrieve information from computerized sources (e.g., educational articles, etc.).
  • Maintain and update online resources and websites for various departments (e.g., the Pulse, the Bloodworks external site).
  • Provide mentorship and training to the ABP team to ensure the department's and Bloodworks' success.
  • Comply with all applicable Standard Operating Procedures (SOPs) as written.
  • Perform other duties as assigned.
