Patients with traumatic injuries, undergoing surgeries or organ transplantation, or receiving treatment for cancer and blood disorders all depend on our services, expertise, laboratories and research. We are local, nonprofit, independent, volunteer-supported and community-based. We have an exciting opportunity for an Administrative Business Partner II within our Administrative Operations Department at Bloodworks NW! The incumbent will partner with business lines and leadership across the organization to provide administrative support that meets operational needs and goals. Lead projects to help drive Bloodworks' strategic priorities. Perform distinctive administrative responsibilities within individual business lines and departments. Assist in the mentorship and training of new and current Administrative Business Partners (ABPs).

Requirements

  • Associate's degree in Business Administration or Communications, or equivalent combination of education and experience.
  • Minimum of five years' previous experience in an administrative capacity or a similar role; experience in healthcare or a regulated industry is highly desirable.
  • Proficiency with Microsoft Office applications - Outlook, Word, and Excel

  • Ability to communicate clearly both in writing and verbally.
  • With support from management, the ability to prioritize and plan multiple projects and work activities under pressure to complete work efficiently, accurately, and thoroughly.

  • Ability to effectively read and interpret information, present numerical data in a resourceful manner, and skillfully gather and analyze information.

  • Required mental activities include the continuous use of interpersonal skills and the ability to read and write English.   • The ability to push, pull, and lift an average of 50 pounds throughout the day is required, as is the ability to carry an average of 30 pounds.

  • Working knowledge of SharePoint and Smartsheet is desirable.

Responsibilities

  • Provide an array of administrative support across business lines at Bloodworks, including but not limited to: creating, updating, and revising a variety of documents such as written and visual correspondence, spreadsheets, presentations, researching and booking travel arrangements, and ordering and monitoring office supplies.
  • Track expenses, process reimbursements, and work with Accounts Payable and other stakeholders regarding reconciliation.
  • Coordinate a computerized calendar for multiple individuals, including scheduling meetings.
  • Function as a timekeeper handling payroll for various departments and reviewing payroll preparation and department reports to ensure best practices are maintained in each department.
  • Records management and maintenance to include, but not limited to: organizing, tracking, auditing, filing, and maintaining confidential files and records; maintaining databases and processes in accordance with company policy and applicable laws.
  • Organize event planning, meetings, and conference management; arrange for audiovisual equipment, and write meeting minutes.
  • Provide frontline professional customer service to internal and external customers, including front-desk duties.
  • Interact with all levels of the organization and, at times, serve as a liaison for the Administrative Operations department.
  • Maintain working knowledge of office software (such as Adobe and the Microsoft Office suite, Smartsheet) and the use/troubleshooting of equipment (such as printers and fax machines).
  • Assist in the development, writing, and updating of administrative policies, procedures, and guidelines within the department, providing/publishing (e.g., SharePoint) content as needed.
  • Complete administrative projects by identifying, redesigning, and implementing new administrative technology and processes in conjunction with other departments.
  • Compile weekly, monthly, and quarterly reporting.
  • Handle confidential information with integrity.
  • Collaborate across the organization and within the team to organize and manage multiple projects at once as they arise.
  • Communicate information and ideas effectively to different audiences at all levels of the organization.
  • Provide administrative support for the company's and department's initiatives, processes, and programs.
  • Conduct research and retrieve online information.
  • Maintain and update resources for various departments (such as the SharePoint intranet site, Smartsheet tools, and Access databases).
  • Assist Administrative Operations leadership and team members with department responsibilities as needed.
  • Perform distinctive administrative responsibilities based on Subject Matter Expert (SME) areas, specialized experience, or knowledge within individual business lines, departments, etc., as assigned.
  • Provide mentorship and training to team members to ensure the success of the department and Bloodworks as a whole.
  • Comply with all applicable Standard Operating Procedures (SOPs) as written.
  • Perform other duties as assigned.
