Requirements

  • 3 years of administrative experience in a technology or international environment working on core administrative tasks (e.g., travel management, expense reports, calendar management, facilities coordination, etc.).

Nice To Haves

  • 6 years of administrative experience supporting executive-level management in a corporate environment, and managing small-scale projects and events from pre-planning to execution.
  • Experience assisting with budget management and organizing chaotic information into clear, actionable plans.
  • Knowledge in AI and its practical applications to make the team more effective.
  • Ability to handle sensitive topics (like employee life events) with empathy and professionalism.
  • Ability to remain upbeat and solutions-oriented in a fast-moving, high-pressure environment.
  • Ability to embrace new tools, enjoy learning new technologies, and proactively drive your own development in this area.

Responsibilities

  • Schedule, maintain, and update complex, high-stakes calendars for three Directors, anticipating conflicts before they happen. Prepare for and actively engage in key meetings to synthesize context, proactively connect dots, and provide strategic recommendations to the leaders you support.
  • Provide vital operational support by assisting with team budgets and streamlining administrative workflows. Execute standard expense management activities and complete travel coordination tasks.
  • Plan and organize internal and external programs and events (such as high-impact offsites and All Hands) and manage event logistics in collaboration with internal partners and external vendors.
  • Assess and advocate for office space needs.
  • Assist in drafting compelling support materials for events, and handle employee information, organizational changes, and sensitive life events with extreme discretion and grace.
