About The Position

The N.C. Department of Agriculture and Consumer Services provides services that promote and improve agriculture, agribusiness, and forests; protect consumers and businesses; and conserve farmland and natural resources for the prosperity of all North Carolinians. The Department employs approximately 2,000 employees. The Primary purpose of this position is to support the Seed and Fertilizer Administrative Specialist. Duties can include but are not limited to: Registering seed licenses and renewals, processing seed lab fees, assistance with registration of licenses and products for fertilizer, lime, landplaster, and soil additives on Ag Regulatory portal system. Reconciling checks and online credit card payments, preparing transmittals. Assisting with fertilizer penalties, expired licensees/products and contact unlicensed fertilizer/seed dealers. Specific duties include: Update records and reports daily. Create new licenses and update existing license information in the database. Enter new/update fertilizer or lime products into the database. Preparing and send out license and product renewals annually. Maintain files (electronic and hard copy), process incoming/outgoing mail in a timely manner, scan documents and other duties as assigned. Assist with transmittal totals, quarterly and yearly reports. Assist with year-end inventory and the year-end fiscal report for our section. All communications with clients via phone, email or USPS are conducted in a professional manner. Inquiries from customers or coworkers are answered in a timely and professional manner. Assisting in other duties as assigned. Strong problem solving, organizational, decision making, and communication skills are essential for this position. The work is performed in an open area office setting, analyzing data on a computer monitor for accuracy, filing reports, and the employee will not be required to stand or walk for long periods of time, nor lift loads more than 10 lbs. The employee will be under stress answering the telephone and emails to communicate with the public and assist them with their questions or direct them to the correct Plant Industry, Seed and Fertilizer staff member.

Requirements

  • Organizational skills: include ability to prioritize information and tasks, facilitate the flow of work and coordinate office support activities with other staff and meet deadlines.
  • Written and verbal communication; ability to explain and interpret program information to clients/customers and staff.
  • Ability to present ideas in written form using correct grammar, organization, and structure
  • Proficient with computer software and applications such as Microsoft Office Suite Outlook, Excel, Word, PowerPoint.
  • Ability to utilize office equipment and other technology (software and systems) to meet work needs
  • Proficient and efficient in data entry.
  • Ability to learn and become proficient with proprietary web-based software including the Agriculture Regulatory System
  • Ability to understand basic issues, identify problems and opportunities to determine the appropriate course of action.
  • High school or General Educational Development (GED) diploma and one year of administrative experience; or an equivalent combination of education and experience.
