About The Position

This position provides administrative support primarily to the City Administrator, with a portion of assigned duties supporting Finance Office operations through front-line customer service functions such as utility billing processing. The Administrative Assistant serves as a primary point of contact for the public and provides administrative and logistical support to City Council and City Hall operations. This role requires strong customer service skills, attention to detail, discretion, and the ability to manage multiple priorities in a fast-paced municipal environment. The position handles both routine administrative tasks and ad hoc requests that support the efficient operation of City Hall.

Requirements

  • Excellent organizational and time management skills, with the ability to manage multiple priorities in a fast-paced environment.
  • High level of attention to detail and accuracy, particularly when handling payments and records
  • Ability to work independently, exercise sound judgment, and adapt to changing needs and priorities.
  • Proficient in Microsoft Office Suite, and standard office equipment
  • Strong written and verbal communication skills
  • Ability to maintain confidentiality and exercise sound judgment
  • Ability to quickly learn City systems, processes, and procedures
  • Comfortable serving as a public-facing representative of the City
  • High school diploma or equivalent required
  • Ability to lift and carry up to 20 pounds
  • Work is primarily performed in an office environment
  • Requires prolonged periods of computer use
  • Ability to work independently, accurately, and with minimal supervision

Nice To Haves

  • Previous administrative, customer service, or office support experience preferred
  • Experience handling payments, billing, or financial transactions is a plus
  • Proficiency with Microsoft Office and general office technology, and the ability to quickly learn and adapt to new systems and software.

Responsibilities

  • Provides administrative support to the City Administrator, including scheduling, correspondence, and coordination
  • Makes travel arrangements for conferences, training, and professional meetings, including registrations, lodging, and related logistics
  • Orders food and coordinates meeting logistics for City meetings, trainings, and events
  • Drafts routine correspondence, forms, and communications as directed
  • Assists with City Council support functions such as meeting logistics, materials preparation, and coordination as assigned
  • Serves as the primary front desk contact for City Hall, assisting walk-in customers and callers in a professional and courteous manner
  • Answers and routes phone calls, emails, and in-person inquiries to appropriate departments or staff
  • Provides general information to the public regarding City services, processes, and forms
  • Assists in de-escalating customer concerns and directing issues appropriately
  • Assists with City-issued cell phone inventory and basic tracking/coordination
  • Supports coordination and administration of City equipment auctions, including documentation, scheduling, and public notices as assigned
  • Assists with maintaining accurate administrative records related to City assets
  • Performs other related duties as assigned to support City operations and administrative needs
