The Administrative Assistant is responsible for providing clerical and administrative support, including secretarial and receptionist duties. Schedule : Monday - Friday 9am - 2pm

Requirements

  • Valid driver's license.
  • High school diploma or GED.
  • Experience in reception and/or office duties or associate's degree in business.

Responsibilities

  • Perform reception desk duties including answering multi-line switchboard, directing calls, faxes, messages, and mail to appropriate personnel, and directing visitors to appropriate staff.
  • Assist HR Office Coordinator with HR related responsibilities including: contacting employment references, uploading documents, running backgrounds, and data entry.
  • Communicate information in a professional and courteous manner to individuals served, staff, and visitors.
  • Refer questionable situations to appropriate personnel and communicate any concerns with supervisor.
  • Unlocking and locking the building at 8:00am, and at the close of business hours 4:30 p.m. on weekdays, even during inclement weather.
  • Prepare outgoing mail and distribute incoming mail appropriately.
  • Prepare & set up conference room or training room for scheduled meetings & reset space after.
  • Order supplies for office as directed
  • Assist with day-to-day tasks of the office: customer contact, phone, email, mail, filing, document preparation, document shredding, and data entry.
  • Keep office common areas clean and organized.
  • Receives and directs fax documents to the appropriate area and staff.
  • Assist with Client Files and Scanning in Financial documents.
  • Assist with communications and scheduling outside vendors for repairs and service.
  • Handles confidential information with discretion.
  • Monitor the entry doors, greet those who enter, and assist as needed.
  • Other duties as assigned.
