About The Position

This position provides administrative support to the nursing administration team, which includes the Director of Nursing, Nursing Manager, Nursing Supervisors, Clinical Educator Office Coordinator, and Hospitalists. The role involves assisting with various projects, patient dismissals, census management, planning meetings, taking minutes, and preparing reports. Additionally, the Administrative Assistant is responsible for clerical duties such as answering and directing phone calls, greeting visitors, managing correspondence, filing, and ordering office supplies. The role also includes preparing administrative reports, statements, and rosters, maintaining agendas and minutes for all nursing administration meetings, and supporting Hospitalists with calls, schedules, correspondence management, and ongoing patient communication, as well as maintaining the hospital census.

Requirements

  • High School Diploma/GED required.
  • 3-5 years administrative/secretarial experience required.
  • Type a minimum of 45 words per minute and use a 10-key calculator.
  • Proficient with MS Office Suite (Excel, Word, etc.).
  • Excellent customer service skills.
  • Familiar with laws, regulations, and guidelines pertaining to hospital and long-term care administrative procedures.

Nice To Haves

  • Associates Degree preferred.
  • Hospital/Healthcare experience preferred.

Responsibilities

  • Demonstrates excellent oral and written communication skills.
  • Demonstrates appropriate interactions with patients, physicians, and staff.
  • Maintains confidentiality of patients, staff, and physicians.
  • Follows all clinic policies and procedures.
  • Assists in projects, patient dismissals, census management, planning meetings, taking minutes, and assisting in preparing reports.
  • Provides clerical support such as answering and directing phone calls, greeting visitors, opening and distributing correspondence, filing, and ordering office supplies.
  • Prepares a variety of administrative reports, statements, and rosters.
  • Originates and maintains agendas, minutes, and post-meeting correspondence for all nursing administration meetings.
  • Supports Hospitalists with calls, schedules, correspondence management, and continuing patient communication.
  • Maintains hospital census.
