About The Position

We are seeking a reliable and detail-oriented Administrative Operations Assistant to support day-to-day finance and HR administrative tasks. This is an execution-focused role centered on organization, data accuracy, and process follow-through. This role supports preparation and documentation. Strategic decisions and final approvals remain with leadership. This position is ideal for someone with strong administrative experience who is comfortable working with financial reports and HR documentation, but who is not seeking a strategic HR or finance leadership role.

Requirements

  • some administrative or operations experience
  • Strong Excel skills (formulas, organization, data accuracy)
  • Proficiency in Microsoft Office (Word, Excel, Outlook)
  • Highly organized with strong attention to detail
  • Comfortable following structured processes and SOPs

Nice To Haves

  • Experience using QuickBooks (report pulling and basic navigation) a plus
  • Notion experience is a plus but not required

Responsibilities

  • Pull and organize designated reports from QuickBooks
  • Maintain and update Excel spreadsheets for expense tracking and reconciliations
  • Assist with processing accounts receivable and contractor payments
  • Maintain organized digital filing systems (SharePoint)
  • Update HR documentation and Employee trackers
  • Assist with onboarding paperwork and document collection
  • Track recurring monthly tasks and deadlines
  • Maintain structured checklists and internal systems
  • Provide general administrative support as needed
