Job Purpose and Summary: Aetna Medical Affairs is hiring two Administrative Assistants to support process efficiency and organization of two Medical Affairs teams: Medicare and Subject Matter Expert/Appeals teams. These team members will provide various (virtual) office and Medical Director support activities. They will identify, enhance, and follow specific processes and procedures to maximize the efficiencies of their teams.

Requirements

  • 5+ years executive administrative support experience.
  • High level of organizational and prioritization skills
  • Excellent verbal and written communication skills
  • Proficient in Microsoft Word, PowerPoint and Excel
  • Proven ability to problem solve and decision making

Nice To Haves

  • Previous experience working with clinical teams at CVS/Aetna
  • Associates degree

Responsibilities

  • Conducts administrative office coordination assuring smooth, timely, and efficient team operations by following established policies and procedures.
  • Manages research, collection, analysis, and compilation of data and information for department reports as needed.
  • Maintains key team schedules to ensure comprehensive coverage of Utilization Management activities including on-call and OOO calendars.
  • Drives onboarding activities as needed as new Medical Directors are hired, including system access requests, hardware requests and other key items from a comprehensive onboarding checklist.
  • Defines a high degree of customer service by fielding internal and external (less frequent) inquiries, resolving or redirecting as appropriate.
  • Manages workflow for incoming items to ensure that issues are directed to the appropriate area, particularly in Manager's absence.
  • Monitors status of delegated items to ensure closure.
  • Some of work may involve confidential business material.
  • Organizes, prioritizes, and responds to email or directs to appropriate area for response.

  • May participate in special projects as needed.
