POSITION OBJECTIVE: We are seeking a highly organized, proactive, and resourceful Administrative Assistant to support the Director and the broader management team within our Gas Compressor Business organization. This role is critical to ensuring smooth day-to-day operations, coordinating complex schedules, managing communications, and facilitating cross-functional collaboration. The ideal candidate will be a self-starter with exceptional attention to detail and a passion for supporting high-performing teams.

  • Provide executive-level administrative support to the Director and management staff.
  • Manage calendars, schedule meetings, and coordinate travel arrangements for Director and Management Staff as needed.
  • Prepare and edit correspondence, reports, presentations, meeting minutes, and other documents.
  • Organize and maintain digital and physical filing systems.
  • Assist in planning and executing team events, workshops both onsite and offsite.
  • Liaise with internal departments and external stakeholders on behalf of the management team.
  • Track action items, follow up on deliverables, and ensure deadlines are met.
  • Support budget tracking, expense reporting, and procurement processes.
  • Create and generate purchase requisitions and maintenance requests.
  • Order and maintain appropriate inventory of office supplies including authorizing departmental expense and cost control.
  • Maintain confidentiality and handle sensitive information with discretion.
  • Continuously improve administrative processes and contribute to team efficiency.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and collaboration tools (e.g., Teams, SharePoint).
  • Strong written and verbal communication skills.
  • Proven ability to manage multiple priorities in a fast-paced environment.
  • Experience supporting senior leaders and working with cross-functional teams.
  • Exceptional Organizational Skills: Ability to manage complex schedules, logistics, and documentation with precision.
  • Strong Communication: Clear, professional, and tactful communication across all levels of the organization.
