About The Position

The Admin Assistant will complete a broad variety of administrative tasks for Purchasing Manager and maintenance assist with a variety of routine operational support within the department. May be responsible for gathering information from internal and external business partners.

Requirements

  • High School diploma required
  • Related experience helpful
  • Average skills in MS Office required: including Word, Excel, and Outlook.
  • Ability to communicate effectively with others through electronic systems
  • Basic math skills
  • Be highly organized and detail-oriented person
  • Ability to work in a fast-paced environment with changing priorities
  • Demonstrates the ability to remain professional and diplomatic when working under pressure

Responsibilities

  • Handle incoming and outgoing office correspondence
  • Track and follow-up on PO’s, collect monthly forecast for dry goods. Close monthly PO open orders.
  • Request transfer of inventory to different locations when running low, research and request WT#s and transfer fees.
  • Request quotes for requested items from vendors
  • May order a variety of supplies, materials as needed
  • Place orders from approved requests that may involve accounts such as Amazon or a vendor who requires a credit card.
  • Request AP department to add vendors to PPRO, once information is received from vendors (w9, COI, etc.)
  • May assist with tracking contracts assigned and reviewing of contracts uploading contacts into PPRO and sending contract to persons requesting a copy.
  • Communicates with customers, employees, and others to answer questions, clarify a PO, explain information, and other related tasks
  • Operate office machinery, including photocopiers, scanners, telephone and voicemail systems, and computers
  • Maintain updated systems for filing, inventory, mailing, and databases
  • Compile and maintain records of office activities and business transactions
  • Obtain information to respond to requests by reviewing files, documents, and records
  • Escalates difficult matters to the Manager and keeps them abreast of all procurement issues, while resolving routine issues independently.
  • Performs other duties as needed
