This Administrative Assistant role is an opportunity to learn, apply and increase your professional administrative skills working with and supporting several Executive Assistants aligned to a team including Directors and Vice Presidents. Your support in this role includes but is not limited to project coordination, calendar and meeting management, travel, goods & services purchasing, report preparation, expense reporting and more as needed. You bring a blend of professionalism, discretion, expertise, passion and flexibility to your work. This includes your enthusiasm for working on multiple diverse projects and tasks that support the team. You enjoy and thrive on working with others as a team to provide administrative and project support to a dynamic organization in a fast-paced environment.

Requirements

  • Relevant administrative experience, ideally working as part of a team
  • Proficiency in Microsoft Office applications including Outlook, Word, PowerPoint, Excel, and SharePoint, with emphasis in detailed and accurate calendar management
  • Excellent customer service and composure under pressure
  • Experience working in a high paced technology company with a globally diverse population
  • Strong organizational skills, detail-oriented, ability to multitask and prioritize multiple projects in a timely manner
  • Effective written and verbal communication skills and positive interpersonal skills with co-workers, clients and customers at all levels
  • Demonstrated ability to partner well with others and build strong, positive and effective relationships

Nice To Haves

  • Bachelor’s degree or equivalent combination of experience and education is desired

Responsibilities

  • Administrative assistance supporting a team of Executive Assistants in calendaring and meeting arrangements, travel coordination, data processing, expense reporting, meeting management and logistical support and more
  • Support coordination and tracking key organization data (budget, travel, equipment, etc.)
  • Support organizing functional team events (group meetings, offsites, celebrations, etc.), facilitating communication with in-house and external contacts to ensure success
  • Meet and greet guests, order all catering for meetings, and arrange all offsite lunches and dinner meetings
  • Support department purchases, including opening purchase orders and managing procurement card use and expenses
  • Manage and track expense reports and receipts; reconcile corporate credit card accounts regularly according to company policy
  • Support candidate interview logistics as required for excellent candidate experience
  • Learn and understand business operations and use this expertise to help improve operational support and overall efficiency of the organization
