About The Position

We are seeking an energetic and enthusiastic Administrative Assistant/Client Relations Coordinator who is looking to start an upward career path in the mortgage industry. Under the direct supervision of Branch Manager, this position provides administrative and secretarial support to the Sales Team. In addition to typing, filing and scheduling, performs duties such as greeting clients, contacting clients, retrieving client documents, and working on special projects. Also, answers non-routine correspondence and assemble highly confidential and sensitive information. Great phone skills/experience and multi-tasking are a must!

Requirements

  • High School diploma, required.
  • Excellent verbal and written communication skills.
  • Must have and display good ethics and professionalism.
  • Proficiency in using Microsoft Office Word, Excel, PowerPoint and Outlook and HRIS software.
  • Ability to work in a fast-paced environment.

Nice To Haves

  • Bachelor's degree in related field, preferred.

Responsibilities

  • Schedules and organizes team calendar as needed.
  • Organizes and prioritizes large volumes of information and calls.
  • Answers manager's office phone, takes messages, and directs traffic accordingly.
  • Works on Branch projects as required.
  • Schedule couriers.
  • Manage all Thank You and Birthday cards each month.
  • Manage Open & Close escrow letters.
  • Organize the year's HUD's for distribution at tax season.
  • Keep track of all clients' documentation coming into the office and coordinate getting originals back to them securely.
  • Report Tracking.
  • Manage client / referral partner information in SPEAR, etc.
  • Manage closing processes and assist in coordinating signing times and ordering closing gifts for clients.
  • Following up with clients.
  • Managing marketing requests.
  • Other duties as assigned by management.
