Asure's HCM offering includes Payroll & Tax, HR, and Time & Attendance software and HR Services ranging from online compliance tools to a fully outsourced HR department. This role is on-site at our Austin, TX office. The Administrative Assistant is responsible for ensuring the smooth day-to-day operation of the office and providing high-level administrative support to executives and staff. This role blends clerical and administrative functions with office management duties to maintain an efficient, organized, and welcoming work environment. The ideal candidate will be willing to learn and be flexible to take on projects as needed.

Requirements

  • High school diploma required, Bachelor's degree in Business Administration or related field preferred
  • Ability to work in our downtown Austin, TX office 100% of the time from 9:00 am - 6:00 pm.
  • Ability to maintain a high level of confidentiality & discretion and always exhibit professionalism.
  • Skilled in being proactive, seeing around the corners, anticipating and being prepared for next steps.
  • Extensive knowledge of office administration, clerical procedures, and recordkeeping systems.
  • Proficient with Microsoft Office Suite specifically Excel and PowerPoint skills required.
  • Polished verbal and written communication skills. Knowing how to ask the right questions.
  • High degree of emotional intelligence and interpersonal skills.
  • Exceptional organizational skills and attention to detail.
  • Excellent time management skills with a proven ability to meet deadlines. Ability to function well in a high-paced and at times stressful environment.
  • Must have a valid U.S. Driver's license to be eligible for hire.

Responsibilities

  • Serve as the first point of contact for internal and external communications (calls, emails, visitors).
  • Schedule meetings, manage calendars, and coordinate travel arrangements.
  • Prepare, format, and edit documents, reports, and presentations.
  • Handle confidential information with discretion and professionalism.
  • Process incoming and outgoing correspondence and ensure timely follow-up.
  • Maintain and organize digital and physical filing systems.
  • Oversee daily office operations and ensure all office equipment is functioning properly.
  • Manage office supply inventory and order necessary materials in a cost-effective manner.
  • Liaise with building management, IT, and vendors to coordinate repairs, maintenance, and services.
  • Maintain an organized, clean, and professional office environment.
  • Monitor and coordinate use of conference rooms and shared office spaces.
  • Coordinate logistics for internal events, meetings, and staff activities.
