About The Position

The Administrative Assistant provides essential administrative and clerical support to ensure the smooth and efficient operation of the park or department. This role works closely with the Operations Manager, to manage reports, guest follow-ups, communications, and departmental documentation. The Administrative Assistant is responsible for facilitating information flow, maintaining organized records, supporting operational projects, and assisting with guest and employee communications. This position requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.

Requirements

  • High school diploma or general education degree (GED); or one to three months related experience and/or training; or equivalent combination of education and experience.
  • Ability to read and interpret documents such as safety rules, operating and maintenance ructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
  • Valid Tennessee Driver’s License or ability to obtain one within 30 days of employment

Responsibilities

  • Work directly with the Operations Manager to ensure all reports, guest follow-ups, and departmental tasks are completed accurately and on time
  • Answer and make phone calls related to guest questions, concerns, and inquiries; check and respond to voicemails daily
  • Respond to all guest information emails in a timely and professional manner
  • Use applications such as CoreTech and Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) to complete reports, organize data, and distribute information to the appropriate personnel
  • Attend meetings assigned by management, take detailed notes, and distribute information to the appropriate employees
  • Use office equipment, including the Xerox machine, to copy, fax, print, scan, and distribute documents as needed
  • Utilize online applications, such as Canva, to create materials, reports, or other visual assets as requested
  • Check incoming mail and distribute it to the appropriate departments or personnel
  • Deliver materials and documents throughout the park as required
  • Audit report submissions as requested to ensure accuracy and compliance
  • Complete all assigned weekly reports, including but not limited to: Admissions Revenue Report Attendance Comparison Report Cabana Revenue and Check Average Report Operational Checkbook Report Season Pass Report Weather Report Social Media Tracking Report Weekly Snapshot Report Zip Code Survey Report
  • Complete the daily cabana reservation sheet accurately and timely
  • Assist with general administrative tasks such as filing, data entry, recordkeeping, and supporting departmental projects
  • Support other departments with clerical, reporting, or communication needs as assigned
  • Ensure compliance with company policies, procedures, and confidentiality requirements
  • Perform additional duties as assigned, with the understanding that responsibilities may evolve and expand over time
  • All other duties as assigned by management
