About The Position

Celerity Integrated Services, located in Quakertown, PA is a telecommunications company that designs, builds and maintains fiber optic infrastructure for our customers. We are currently looking for a FT Administrative Assistant to support the day-to-day office and administrative functions for the company. This will include daily receptionist duties as well as assisting various departments with administrative tasks ranging from record keeping, light accounting tasks, marketing related tasks, assisting human resources, etc.

Requirements

  • Associate degree or equivalent education and experience, BA a plus
  • 3-5 years of administrative and office support experience
  • 1-2 years of accounting experience or experience in a similar role
  • Proficient knowledge of Microsoft office and all related applications including Teams
  • Strong attention to detail and excellent communicational and organizational skills
  • Ability to manage multiple priorities and work independently
  • Ability to maintain professionalism and confidentiality at all times

Nice To Haves

  • Familiarity with Adobe Suite such as photoshop; and Canva a plus
  • Experience with Foundation Accounting Software a plus
  • Experience in a construction or telecom related field a plus

Responsibilities

  • Answer and route all incoming phone calls in a professional and timely manner
  • Assist visitors at the main office entrance
  • Open, stamp and distribute daily mail; assist with outgoing mail services
  • General computer, computer program and printer assistance for employees
  • Compile reports or meeting agendas and minutes for management as needed
  • Order business cards as needed
  • Data entry into company software systems
  • Assist in processing AR
  • Act as a back-up for AP when necessary
  • Assist with maintaining safety-related databases
  • Work with Human Resources to complete and send out Employee Newsletter
  • Coordinate community outreach and charitable efforts: flyers, drop-offs, photos
  • Save and organize company photos/videos
  • Create employment service award certificates, holiday party invitations/flyers
  • Order company branded merchandise as needed, maintain stock, oversee merchandise requests/payments/communication
  • Work with Sales & Marketing team to order tradeshow items as needed
  • Perform other related duties as assigned
