About The Position

The Administrative Assistant provides essential administrative, clerical, and communication support to ensure the smooth and efficient operation of the office. This role requires a highly organized and detail‑oriented individual who can manage multiple tasks, support staff and visitors, and maintain a positive and professional presence in the workplace. The ideal candidate is a strong communicator, a self‑starter, and skilled at anticipating needs to help keep daily operations running seamlessly.

Requirements

  • Prior administrative assistant experience.
  • Strong organizational and detail‑oriented skills.
  • Excellent verbal and written communication skills.
  • Ability to work both independently and as part of a team in a fast‑paced, high‑volume environment.
  • Working knowledge of Microsoft Office, including Excel and Word (advanced proficiency preferred).
  • Strong analytical and problem‑solving skills.
  • A positive, professional, and proactive attitude.

Nice To Haves

  • Associate degree in a related field.
  • Proficiency in Excel spreadsheet creation and advanced Word functionality.
  • Multilingual abilities (Spanish/English or others).
  • Experience supporting multiple stakeholders and anticipating office needs.

Responsibilities

  • Perform a variety of office and clerical tasks including answering phones, filing, scanning, copying, and generating reports and presentations.
  • Provide real‑time scheduling support by booking appointments, coordinating meetings, and preventing scheduling conflicts.
  • Communicate professionally with staff, vendors, project managers, and visitors, ensuring timely and accurate information flow.
  • Screen and route phone calls to the appropriate team members.
  • Prepare documents, reports, and presentations using Microsoft Office applications.
  • Greet and assist visitors, delivering polite, professional, and helpful service.
  • Maintain office organization, including reordering supplies and supporting daily operational needs.
