About The Position

Center for Life Management’s Acute Care Department provides telephone, video, or in-person support to clients in the community or at our 10 Tsienneto Rd office to any person in the state needing this specialty support. Our crisis services are either a deployment to the community (where the crisis is), at the crisis center (walk-in support at our Derry office), or crisis stabilization service which may be in the office, community or include phone support. Our services are specifically aimed at diverting individuals from emergency room care, unnecessary hospitalizations, and incarceration by collaborating with first responders, health care providers and community-based agencies to stabilize a psychiatric crisis and initiate immediate treatment. The Administrative Assistant provides advanced clerical and receptionist support for the Emergency Services Team. This is a part time, 18 hour a week position based out of our Derry Office with a schedule of Mondays, Tuesdays, and Thursdays from 10:00 a.m. – 4:30 p.m.

Requirements

  • High school diploma or equivalent required.
  • Minimum of two years’ experience in a medical office and/or emergency service environment preferred.
  • Strong communication, interpersonal, and customer service skills required to interact with clients, families, staff and visitors in a professional manner.
  • Ability to work in a fast-paced environment with strong organizational skills, ability to problem solve, multi-task, and manage competing tasks while attending to details and adhering to deadlines.
  • Ability to maintain composure and exercise sound judgment in routine, urgent, and emergent situations and tasks.
  • Proficient computer skills and knowledge of Microsoft office applications with emphasis on Word, Excel, Outlook and TEAMS.
  • Ability and desire to work as part of a team while also able to be self-directed and motivated with minimal supervision.
  • Flexibility to adapt schedule and fill in as needed.
  • Ability to acquire and effectively execute new skills as needed according to evolving department needs.

Responsibilities

  • Answer phones professionally and direct calls to appropriate staff.
  • Greet and support walk-in clients.
  • Use de-escalation skills to manage acute client distress when appropriate prior to referring to a provider (clinician, peer support, or similar acute care service team member).
  • Complete required trainings to support skills in de-escalation and understanding of New Hampshire’s Rapid Response system.
  • Gather Insurance Information and verify insurance coverage.
  • Gather demographic information.
  • Create client identification numbers in the Electronic Medical Record (EMR).
  • Appropriate use and documentation of the agency’s EMR consistent with agency protocols and policies.
  • Supply and review admission documents.
  • Coordinate hospital, jail, or other higher levels of care services for follow up with Acute Care Services.
  • EMR Scanning and processing of Acute Care Services documentation.
  • Review all daily ES Department billing to ensure documentation is completed, services are properly coded and billing is prepared in a timely fashion.
  • Promptly communicate concerns, questions, and/or important information with appropriate Manager, clinical supervisor, administrative team member, clinical and/or medical staff.
  • Collaborate with team members and other internal and external partners to include parents/guardians, natural supports, police, emergency medical staff, and hospitals to ensure a wrap-around approach is provided for continuity of client care.
  • Perform functions professionally and in a manner that protects the integrity and confidentiality of clients and staff.
  • Actively engage in appropriate team meetings and committees as requested by supervisor.
  • Represent CLM in a professional and appropriate manner in all settings.
  • Perform all other duties as assigned by supervisor.
