Department OverviewMcDonald's USA is looking for an Administrative Assistant that will provide support to McDonald's USA leadership team members. As a critical member of the team, the Administrative Assistant will perform a variety of specialized and administrative functions to support our field office with discretion. This role will require occasional travel throughout the US several times a year.  The person who steps into this role will need to be available, even after hours or on weekends, for emergency purposes only

Requirements

  • Bachelor's degree in business, office administration or finance is preferred.
  • 5+ years of experience with providing executive administrative support.
  • Advanced knowledge of Microsoft Office Suite, Cisco WebEx, SharePoint and iExpense.
  • Strong multitasking, communication, and project management skills.
  • Proficient at working autonomously to meet project goals and deadlines while also being proactive, forward thinking and a true thought partner to Executive and Chief of Staff.
  • Reliable, results-oriented, and able to anticipate needs.
  • Strong organizational skills with the ability to demonstrate a proven track record of getting results.
  • Able to communicate clearly and concisely, both verbally and in writing, with attention to detail.
  • Must be organized and motivated with superior follow-through.
  • Comfortable working in a fast-paced environment with senior leadership and managing confidential information.

Nice To Haves

  • Previous experience with event planning is highly preferred.

Responsibilities

  • Provide administrative support to a national Executive and Chief of Staff.
  • Coordinate executive travel (domestic and international) arrangements and logistics including itinerary building and expense report processing.
  • Organize and maintain digital filing via SharePoint and Microsoft Teams.
  • Create, edit and / or proofread slide decks, emails and letters for Executive.
  • Oversee and execute both small- and large-scale meetings, managing event logistics (budgets, expenses, vendor contracts), agenda creation, attendee experience, and communication.
  • Supporting various work events, both during and outside of business hours, as needed.
  • Process expense reports, professional communications, DocuSign and digital files.
  • Maintain calendars with critical and current meetings and travel details.
  • Track timelines for ongoing department projects.
  • Set up and manage virtual meetings using Cisco WebEx
