About The Position

The Administrative Assistant provides crucial administrative and clerical support to the staff across all departments in the Anchorage office for APICDA, AJV, and their subsidiaries. This role is essential for the smooth operation of the office, encompassing everything from general office maintenance to assisting with the preparation of reports for the Board of Directors. The Administrative Assistant reports directly to the Director of Community Programs.

Requirements

  • High school diploma or equivalent
  • Minimum two years of experience in an office setting, office administration experience preferred.
  • Proficient working knowledge in computer software applications: word processing, spreadsheets, database, and presentation software.
  • Excellent customer service skills with a focus on maintaining a professional demeanor.
  • Self-motivated and ability to work independently.
  • Effective verbal and written communication skills.
  • Able to collaborate effectively with others.
  • Strong organizational skills and ability to prioritize work effectively to meet deadlines.
  • Willingness to learn general knowledge of APICDA communities, geographical locations, fisheries, and tourism, Alaska Native organizations, or non-profits.
  • Must have a valid driver’s license and be insurable under APICDA’s insurance policy.

Responsibilities

  • Manage the front desk, including greeting visitors, answering incoming calls, and directing inquiries to the correct staff member or department.
  • Provide general administrative support, such as handling incoming and outgoing mail, managing staff calendars, and coordinating meetings.
  • Maintain and organize administrative documentation, including both hardcopy administrative folders and electronic filing systems.
  • Assist with event planning and coordination as needed.
  • Ensure the office is consistently well-stocked with supplies and equipment. This involves purchasing supplies, keeping the storage area organized, tracking invoices, and adhering to established budgets.
  • Maintain the general neatness and orderliness of the office space, including managing refuse and recycling disposal.
  • Manage travel arrangements for staff and clients, which includes maintaining traveler profiles, booking transportation and lodging, communicating detailed travel itineraries and confirmations, and providing other travel-related support.
  • Contribute to overall team success by proactively offering assistance to colleagues when time permits.
  • Perform other duties as assigned.
