About The Position

The Administrative Assistant provides critical administrative support to Spriggs Excavation, Inc. This role supports the team and office leadership by ensuring accurate documentation, timely processing, and an organized, professional office environment. The ideal candidate is detail-oriented, highly organized, and comfortable working in a fast-paced construction environment. This position requires strong communication skills, discretion, and the ability to manage multiple priorities while supporting financial and administrative workflows across the company.

Requirements

  • Strong proficiency in Microsoft Office Suite, especially Excel
  • Strong organizational skills with high attention to detail
  • Excellent verbal and written communication skills
  • Ability to manage multiple priorities and meet deadlines
  • Professional discretion and ability to handle confidential information
  • Valid driver’s license and safe driving record

Responsibilities

  • Maintain a clean, organized, and professional office environment, including shared spaces, conference rooms, and reception areas
  • Answer and route phone calls; welcome and direct visitors and clients
  • Maintain electronic and paper filing systems
  • Manage all incoming and outgoing mail, including visits to the post office, processing of packages, and coordination with delivery services
  • Order, stock, and manage office supplies, snacks, food, and grocery items to support daily office operations
  • Coordinate ordering and pickup of office lunches and meals, including off-site pickup as needed
  • Assist with planning and coordination of company meetings, trainings, and office events, including logistics, food, and materials
  • Prepare for meetings, take notes, and assist with follow-up items
  • Perform data entry and maintain spreadsheets, databases, and reports
  • Provide general administrative support to leadership and office staff
  • Maintain organized records and documentation in accordance with company standards
  • Assist with Accounts Payable processes, including invoice tracking, documentation, and verification
  • Assist with purchase orders, work orders, and related documentation
  • Support fixed asset tracking and financial record maintenance
  • Collaborate with accounting and office teams to improve data accuracy and workflow efficiency
  • Perform other duties as assigned to support business needs and team success
