Duke Health Integrated Practice Duke Health Integrated Practice comprises more than 110 primary and specialty outpatient clinics, extending the reach of Duke Health's mission across the state of North Carolina. We are seeking an Administrative Assistant to perform administrative and secretarial duties of a complex and confidential nature in the Vascular department in service of reaching departmental goals and objectives; and maintaining efficiency in organizational operations. Provide direct and in-direct support to faculty and assigned department leadership.

Requirements

  • High school education or equivalent.
  • Two years of administrative support experience of increasing variety and/or complexity.

Responsibilities

  • Coordinate special projects (meetings, division events and parties, projects, etc).
  • Assist faculty with development of standard operating procedures that can be implemented across the clinical enterprise.
  • Use effective communication, critical thinking and problem-solving skills to prioritize and resolve issues via phone, email or in person.
  • On behalf of the faculty, receive and respond appropriately to communication from a diverse range of stakeholders spanning the clinical, educational, and research infrastructure.
  • Perform clerical and typing tasks related to the preparation and processing of a variety of office materials, including form letters, requisitions, memoranda, reports, and summaries. Duties include verifying accuracy of information, formatting documents according to established procedures, maintaining filing systems, and distributing completed materials as required.
  • Assist with maintenance of faculty CV, licensure and professional memberships. Support faculty academic work by drafting and formatting professional documents, and help ensure priority projects remain on timeline.
  • High level calendar management: secure travel arrangements (purchase plane tickets and make hotel reservations) and coordinate itineraries, process reimbursements, maintain clinical schedules optimizing efficiency and effectives for the physician.
  • Vascular faculty cover clinical care at four hospitals in Durham and Raleigh and engaged in all three components of the academic mission. The Administrative Assistant must be able to support a highly complex and dynamic professional schedule.
  • Provide support for faculty engaging in clinical, research, and education.
  • Function as a liaison between department and other groups/departments within Duke.
  • Provide back-up support and coverage to the Vascular administrative team.
  • CME reimbursements for clinical and research.
