About The Position

As an Administrative Assistant, this position is responsible for providing a broad range of administrative support activities to a department identified by business-driven value. Primary functions of the job are scheduling and strategic calendar management. Light travel, expense support along with recognition/team event support (adding birthdays/work anniversaries to calendars, ordering food/beverage). Provide calendar support of a department identified by business-driven value. May include: limited calendar management on behalf of the person(s) supported, negotiating with others to find the best date/time options, ensuring required attendees are invited, tactical meeting coordination (scheduling and room setup, catering, agenda and materials). This position may be responsible for providing meeting technology support in virtual and in-person meeting environments. May be responsible for performing: light to moderate inbox support (deleting junk, categorizing and filing, flagging messages for importance), compiling monthly reports, ordering supplies, managing role and access requests, creation/maintenance of distribution lists, onboarding employees (ordering technology, information access, security), booking travel arrangements in partnership with those supported, expense management (submit purchase/travel card expenses, department invoices). Manage information through multiple technology channels, handle requests for new technology (i.e., SharePoint, Box, Clear ID, etc.)., Backup for team members. May be involved in a variety of business-value driven department or business-wide projects.

Requirements

  • High school diploma and 2+ years related experience required.
  • Strong organizational skills and detail oriented.
  • Strong verbal and written communication skills.
  • Ability to gather and consolidate data from various sources.
  • Ability to set priorities, handle multiple tasks and meet deadlines.
  • Flexible and adaptable to rapidly changing priorities and the ability to handle confidential information.
  • Keyboarding and adaptability in computer, web and mobile business applications, proficiency in Windows based computer applications (Microsoft Office) and the operation of office equipment.
