About The Position

We are looking for a dynamic Administrative Assistant who can help the busy attorneys and paralegals at our law office assist clients. You’ll be responsible for handling the administrative tasks of the firm, including billing, accounts receivable, binder preparation, and working collaboratively with the attorneys, paralegals, and other staff. You’ll also perform a variety of other tasks as needed to ensure our firm is operating efficiently. This is a full-time position with 100% of the work performed in-office, with hours from 8:30 AM to 5 PM, Monday - Thursday, and 8:30 AM to 4 PM on Friday. All candidates must have previous experience in a busy professional service setting, but no law firm experience is necessary . Candidates without any relevant experience will not be considered.

Requirements

  • Previous experience in a busy professional service setting is required.
  • Strong listening and communication skills.
  • Knowledge of the Microsoft Office Suite, including Word and Outlook.
  • Positive, professional, and approachable attitude and demeanor.
  • Must possess the ability to work in an interactive team environment with a customer service focus, both internally and externally.
  • Ability to proactively identify problem areas and communicate them to appropriate individuals.
  • Exceptional attendance.

Nice To Haves

  • Spanish fluency is not required, but is a plus.

Responsibilities

  • Follows up with Potential New Clients (PNCs) for hiring
  • Handles invoicing for the law firm on a monthly basis., including collecting payment on past due invoices.
  • Promptly pays firm bills and manages all vendor payments.
  • Manages billing for cases, saving invoices and entering billing information regarding each case into the firm's Case Management System (CMS).
  • Prepares Estate Planning, Entity, and other binders/documents for signing by clients.
  • Drafts non-legal correspondence, such as letters to return original documents to clients, non-engagement letters, and termination letters.
  • Renews Attorneys’ and law firm's professional memberships and licenses as requested.
  • Serves as backup receptionist, handling frequent incoming phone calls from clients and proactively assisting them and routes them to the best team member, scheduling and rescheduling appointments, confirming appointments, etc.
  • Processing incoming and outgoing mail.
  • Other projects, as assigned.
