About The Position

The Administrative Assistant provides high-level administrative support to ensure efficient day‑to-day operations. This role requires exceptional proficiency in Microsoft Office applications, strong organizational skills, and the ability to handle sensitive information with a high degree of confidentiality and professionalism.

Requirements

  • Proven experience as an administrative assistant, office coordinator, or similar role.
  • Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Strong written and verbal communication skills.
  • Excellent organizational and time‑management abilities.
  • Ability to handle confidential information with discretion.
  • High attention to detail and accuracy.
  • Ability to work independently and prioritize tasks effectively.

Nice To Haves

  • Experience supporting leadership teams.
  • Familiarity with other productivity tools or collaboration platforms (e.g., SharePoint, Teams, OneDrive).
  • Associate’s degree or higher in business administration or related field (optional).

Responsibilities

  • Manage calendars, schedule meetings, and coordinate appointments.
  • Prepare, edit, and format documents, spreadsheets, and presentations using Microsoft Word, Excel, PowerPoint, and Outlook.
  • Maintain digital and physical filing systems to ensure organization and accessibility.
  • Coordinate travel arrangements, itineraries, and expense reports as needed.
  • Serve as the first point of contact for internal and external inquiries.
  • Draft, proofread, and distribute correspondence, memos, policies, and reports.
  • Coordinate with other departments to facilitate workflow and information sharing.
  • Handle confidential and sensitive information with discretion and integrity.
  • Support daily administrative tasks, such as document management or scheduling, while maintaining strict confidentiality.
  • Assist with meeting preparation, including agendas, materials, and equipment setup.
  • Support onboarding activities for new staff (access setup, materials, scheduling).
