About The Position

The Administrative Assistant supports all departmental activities with the purpose of facilitating multi- disciplinary utilization of the MUSC Healthcare Simulation Center (HSC) to support academics and patient care throughout the MUSC enterprise. They provide excellent service, supporting faculty, staff, facilitators, learners, and visitors engaged in MUSC HSC activities. Other responsibilities include: receiving all faculty, staff, facilitators, learners, and visitors to the MUSC HSC, ensuring proper sign-in and evaluation procedures are followed, maintaining the lobby area signage, maintaining the cleanliness of the MUSC HSC common areas, assisting Simulation Specialists with room set-up and take-down as needed, and providing administrative support to the MUSC HSC. The Administrative Assistant provides administrative support to MUSC HSC staff. The Administrative Assistant reports to the MUSC HSC Administrative Coordinator II. The Administrative Assistant job performance is evaluated with input from the MUSC HSC Business Manager, Operations Manager, Education Director, and Medical Director. The Administrative Assistant will adhere to all deadlines, particularly when related to simulation learning activities. The Administrative Assistant will interface with many individuals, including but not limited to faculty, trainees, clerical, technical, and administrative personnel from MUSC and external clients.

Requirements

  • A high school diploma and two years work experience that is directly related to the area of employment. A bachelor's degree may be substituted for the related work experience.
  • Some positions require a valid driver's license and good driving record; or correctable vision of 20/40 in both eyes, with or without conventional lenses, and physical qualifications in accordance with Federal Motor Carrier Safety Regulations, Section 391.41; or AAVMA certification.
  • Some positions require eligibility for bonding.

Responsibilities

  • Provide administrative support to the MUSC HSC staff, including supporting procurement, scheduling meetings, taking meeting minutes, and performing other general administrative and clerical support.
  • Assist with error- free room setup and takedown, maintain clean and functioning facilities, and verify appropriate simulation environments according to best practices, protocols, and posting set-up guides into Teams folders
  • Support all aspects involving “day of” simulation implementation, including calendar management and communication, assisting with sign in process with QR codes, guiding facilitators and participants to their scheduled location, guiding learners and facilitators to complete evaluations, and assist if needed with other applicable administrative support responsibilities. Responsible for running monthly reports.
  • Manage all customer service aspects of the front desk, lobby, and waiting area to include visitor greeting and staging directions, general information, telephone, mail, and email communication, space appearance and organization, and all other administrative support duties related to the flow of the simulation center. Coordinate with Laundry services for pick-up and drop-off of all linens for the center. Communicate effectively with simulation specialists and facilitators to ensure technical support is provided promptly.
  • Order and track office supplies and deliveries to HSC.
  • Enrolling participants in Our Day Pre Course Modules required for simulation activities. Providing survey data to end users when requested.
  • Assist with Surplus and Annual Inventory Verification process as needed.
  • Perform other duties as assigned, including assisting with special projects and helping the Directors with other administrative duties
