About The Position

Position Summary: Provide a high level of administrative support to corporate departments. The ideal individual will have the ability to anticipate needs, think critically and exercise good judgment in a variety of situations. Additionally, the ideal candidate will have strong written and verbal communication, administrative and organizational skills, and the ability to maintain a realistic balance among multiple priorities.

Requirements

  • Proficiency in MS Office including Word, Excel, Outlook, and PowerPoint. Willingness and ability to learn other types of software and cloud-based applications, such as Sharepoint and Smartsheet.
  • Excellent time management skills and the ability to prioritize work.
  • Strong organizational skills with the ability to multi-task.
  • Attention to detail and a proactive approach to problem-solving.
  • The ability to work independently as well as part of a team.
  • Associate’s degree from a college or university required with bachelor’s degree preferred.

Responsibilities

  • Provide day-to-day administrative support to office staff.
  • Prepare, revise, and format a variety of correspondence. Ability to review finished materials for completeness, accuracy, format, grammar.
  • Schedule meetings, conferences, teleconferences, and other events.
  • Assist with planning and coordination of all corporate events.
  • Prepare expense reports; arrange airfare, lodging and meals as needed; and compile documents for travel-related meetings.
  • Work independently and follow through on projects, from conception to completion.
  • Organize and maintain documents and computer-based information. Prepare digital and physical folders, labels, and all corresponding documents.
  • Make copies of paper and electronic correspondence or other printed materials.
  • Answer and direct phone calls.
  • Collect incoming mail daily; sort, scan (if needed), and distribute to appropriate parties.
  • Manage inventory and coordinate the ordering of office supplies and breakroom groceries.
