About The Position

Under general supervision, this position will work with the Safety, PSM, and Training Department team members and all level representatives of multiple entities to gather, maintain and file.  Confidentiality of information obtained requires close accountability and assurances that the information is not compromised.  Position is a primary support staff for Training and Safety Compliance efforts.

Requirements

  • High School Diploma or equivalent required
  • 2+ years of experience working in an office environment required
  • Fluent in English, oral and written, required; Spanish fluency is a plus.
  • Ability to adjust schedule to meet business needs.
  • Demonstrated knowledge with the basic software applications including, Word, PowerPoint, Access, Excel, Maximo, PDF software.  Will be expected to learn and use new software as business needs dictate.
  • Broad working knowledge of applicable facility/industry safety systems and programs.
  • Must have ability to read, comprehend, and apply federal, state, and local occupational health and safety regulations, codes, and requirements; to prepare technical reports and analysis and maintain required records
  • Ability to establish and maintain effective working relationships with facility staff and plant employees
  • Demonstrated competency relating to customer focus, priority setting, and time management
  • Advance computer skills and knowledge of specific software systems utilized within the complex
  • Must have strong organizational skills
  • Ability to accept various assignments and work schedules in order to complete responsibilities
  • Be able to work independently.

Nice To Haves

  • Professional Office Administrative certification, college degree coursework or equivalent work experience or a combination thereof is preferred.
  • Spanish fluency is a plus.

Responsibilities

  • Regularly communicate with supervisor about work progress, concerns, and questions
  • Will perform duties requiring investigation, analysis and individual judgement
  • Maintain a comprehensive administrative filing system – including archival and storage inventories in accordance with good Records Management Systems practices in compliance with OSHA guidelines
  • Read, comply and promote the application of federal, state and local occupational health and safety regulations, codes and requirements
  • Develop training presentations for use with web-based training programs and other systems
  • Develop multiple reports to support management with status updates throughout the year
  • Preparation of routine written communication, reports, file maintenance and assistance with various overflow work within the safety, PSM, and training departments
  • Provide assistance to users of automated safety training programs
  • Manage MSDS information and employee training in the use of MSDS information tools
  • Organize and schedule meetings as required
  • Facilitate work orders for the purchase of safety equipment while ensuring the equipment conforms to the health and safety standards and verify invoices against purchase orders and contract deliverables
  • Collect, maintain and administer contractor safety performance and qualification records as assigned
  • Prepare purchase requisitions and contracts for department needs.  Also verify invoices against purchases and contract deliverables
  • Manage and use a company Pcard.
  • Ensure a safe and healthy work environment by complying with plant health and safety policies and procedures
  • Learn and navigate within the operating facility and willing to learn the basics of facility operations and maintenance.
  • Assist in the development and implementation of the company’s Health, Safety and Process Safety programs
  • Assign areas of responsibility performed in accordance with company regulatory standards for timeliness, completeness and accuracy
  • Systematic and organized filing to support regulatory requests of documentation, primarily for the training records and associated documentation.
  • Work well with teams and participate in problem solving to assure accurate and streamlined processes.
  • Project a positive image of customer service to employees, contractors, and visitors to the site.  Be able to identify your customers and provide excellent customer service.
