Administrative Assistant Location-5255 Loughboro Road, Washington DC 20016 Hours- Monday-Friday, 8a-4:30p Pay rate- $24 per hour Responsibilities This role is dedicated to creating a positive impression for appointments in Maternal and Fetal Medicine at Sibley. The goal is to provide a warm welcome to all who seek care. The Administrative Assistant is vital in providing safe and efficient daily operations of the front desk in addition to performing secretarial duties. The role also includes accessing hospital information systems via the computer and completing patient registration; triaging telephone calls appropriately; obtaining medical records to facilitate patient appointments; scheduling a variety of appointments, and posting surgical cases on behalf of the providers. It is expected that confidential information will be handled in accordance with hospital policy and HIPPA guidelines. Practices the Circle of Excellence to all who enter the department, including patients and families, in addition to fellow staff, both in the department and hospital-wide. Works with new patient scheduling as needed on registering all patients into the hospital information system Obtains insurance, medical and demographic information from the patient using various forms to collect and process data, receives proper paperwork from admissions to process the patient into the system. Shares registration information with Financial Counselor Coordinator to facilitate preauthorization of treatment plan prior to initiating surgery and other procedures. Answers multi-line telephone including responding to general questions, triaging calls, transferring callers, and abstracting information about purpose of call. Refers written or verbal messages to appropriate individual. Maintains department scheduling by using department information system. Able to schedule patients according to type of appointment and understands length of appointment time for physician visits and surgery. Able to schedule diagnostic exams in other departments as part of the treatment plan. Uses new patient intake form to collect medical information in preparation for the physician visit. Retrieves information from hospital information system or requests information from outside physician offices via telephone/fax/mail. Prepares EMR prior to patient visit. Scans outside records and other records into patient EMR as necessary. Retrieves dictation from information system. Sorts dictation and collects physician signature if indicated. Verifies correct number of copies required and mails to outside physician offices. Logs external films into the hospital information system.

Requirements

  • High School Diploma or Equivalent.
  • Three years of progressively responsible medical office experience.
  • Knowledge of medical terminology.
  • Strong verbal and written communication skills.

Nice To Haves

  • Previous experience working in a health care setting to include medical terminology and familiarity with oncology preferred, or any combination of education and experience to provide the required knowledge, skills, and abilities.
