About The Position

We are seeking a highly organized, detail-oriented Administrative Assistant to join our team. This role is the central hub of communication and coordination in our department, providing exceptional customer service, supporting daily operations, and ensuring accuracy across administrative and accounting functions.

  • Advanced computer proficiency with the ability to quickly learn and effectively navigate industry-specific systems, including CDK, CCC, and all KDG software.

Responsibilities

  • Serve as the first point of contact for inbound calls, customer visits, and email inquiries; route all communication to the appropriate team members.
  • Audit repair tickets by balancing receipts against final bills.
  • Process incoming insurance checks and receipt customer payments (including deductibles).
  • Manage appointments and follow up on uncaptured repairs.
  • Oversee accounting schedules, accounts receivable, and deposits.
  • Copy insurance estimates into CCC.
  • Maintain all customer-facing areas to ensure a clean, organized, and professional environment.
  • Manage the rental fleet and related sales.
  • Update the production schedule daily for all internal repairs (warranty, internal damage, reconditioning).
