About The Position

George Fox University's Office of the President is seeking an exceptionally organized professional with a high degree of discretion, refined interpersonal skills, and the multitasking expertise required to serve as an Administrative Assistant in the President's Office. About the Job: The President's Office supports the executive office needs of the President, Board of Trustees, and the President's Executive Operations Team. The office also coordinates a number of events annually including undergraduate and graduate commencement ceremonies. To assist in fulfilling these tasks, the President's Office is seeking a part-time Administrative Assistant to provide high-level administrative, financial, and operational support to the office. A typical day involves working closely with the President's Executive Assistant to address the highest priority tasks of the day in support of the President. Throughout the day, you will be asked to navigate institutional systems to process financial transactions in Vena, Concur, and BruinBuy. You will be responsible for the organization of the office, ensuring the smooth operations and serving as the first person guests see and interact with when they visit the President's Office. Each day will require a high level of hospitality and warmth to office visitors, while also managing multiple tasks and competing priorities within set deadlines.

Requirements

  • Any combination of education and experience that provides the required knowledge, skills and abilities to perform the essential functions of the position.
  • Three years of experience in office work required, including considerable administrative experience of a progressively responsible nature.
  • A full understanding of, and respect for, confidentiality.
  • Excellent interpersonal and communication skills.
  • Flexibility and adaptability in order to work effectively in a fast-paced office environment.
  • A high level of organization with the ability to be innovative and seek out new efficiencies for work systems.
  • A positive, professional attitude and a strong orientation toward teamwork.
  • The ability to work independently.

Responsibilities

  • Financial Management: Managing all purchase orders, invoices, and payments through BruinBuy, and generating monthly budget reports.
  • Administrative Operations: Assisting with organizing meetings, preparing agendas and materials, managing multiple calendars and email accounts, and coordinating travel arrangements.
  • Office Management: Staffing the front desk, answering the office phone, greeting guests, responding to in-person and email inquiries, ordering office supplies, maintaining equipment, and ensuring accurate file management.
  • Safeguarding the confidentiality of the office by exercising discretion in communication and in the handling of records, files, personnel actions, performance evaluations, and similar confidential materials.
  • Communicating effectively and courteously with others, including employees, students, and the public, in a spirit of teamwork, respect and customer service.
  • By actions, words, and lifestyle, be a Christian role model to students, whether through casual contact or in a formal supervisory role.
  • Demonstrating awareness, respect, and appreciation for diversity of culture, background, race, sex, political views, expressions of faith, etc. and works well with a variety of people.
