Henkels & McCoy West is in need of temporary Administrative Assistant support (~3-6 months) in the Accounts Payable Department. This opportunity will have the potential for permanent hire if the candidate is successful in the role.

Requirements

  • General office administration experience
  • Experienced in MS Office Suite (Excel, Word and Outlook)
  • Strong communication and organizational skills
  • Detail-oriented and high level of accuracy
  • Ability to cross train and work well with others
  • Demonstrated ability to meet deadlines
  • Demonstrated degree of professionalism and confidentiality
  • Ability to follow processes, and alert management when escalation is needed

Nice To Haves

  • Exposure to construction or utility field office (Preferably)

Responsibilities

  • Preparing, coding, and submitting accounts payable invoices
  • Handling data entry
  • Providing administrative support
  • Assist with Purchase Order generation & backup documentation
  • Set up work orders in the MRP system
  • Review timesheets and submit them to payroll
  • Follow up with vendors as needed; check statements weekly
  • Prepare and match receipt tickets to invoices and reconcile invoices with P.O. close outs
  • Prepare weekly reports
  • Assist with customer weekly & monthly reporting - collect and analyze information
  • And follow up on the above tasks
