About The Position

The Administrative Assistant is responsible for coordinating and managing internal and external events while providing administrative support to executive leadership. This role supports the internal customers by ensuring events, projects, and day-to-day administrative functions run smoothly. Additional duties may be assigned as business needs evolve.

Requirements

  • Strong organizational, time-management, and multitasking skills.
  • Excellent written and verbal communication skills.
  • Professional interpersonal and customer service skills.
  • Ability to interact effectively with executives, employees, vendors, and external guests.
  • Event planning and coordination experience, including logistics and vendor management.
  • Ability to prioritize tasks and adapt in a fast-paced environment.
  • Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint).
  • Experience with virtual meeting platforms.
  • Discretion and ability to handle confidential information.
  • High School Diploma or equivalent required.

Nice To Haves

  • Associate’s degree or higher preferred.
  • Equivalent experience may be considered in lieu of education

Responsibilities

  • Support various projects assigned by the President and other Executive Directors.
  • Provide general administrative support as assigned.
  • Plan and coordinate company-wide employee events.
  • Sort and distribute incoming mail; purchase postage; and operate and service the Neopost mail machine.
  • Manage and coordinate conference planning and provide event support for the Marketing Department.
  • Provide planning and logistical support for webinars.
  • Arrange and book catering for lab demonstrations and internal events.
